How we handle your info at the shop

Introduction

Look, we get it - nobody actually reads these things. But honestly, we're just a small auto repair shop in Calgary trying to do right by our customers. We're not selling your data to sketchy companies or doing anything weird with your information.

This policy explains what happens when you give us your contact details to book an appointment or when you visit our website. We've tried to keep it straightforward without all the legal mumbo-jumbo (though there's still some of that, unfortunately).

Bottom line? We collect what we need to fix your car and keep in touch with you. That's it. If you've got questions, just give us a call at (403) 555-8742 and we'll chat about it over coffee.

Personal Stuff You Give Us

When you book with us or bring your vehicle in, we'll ask for:

  • Your name (kinda need to know who we're dealing with)
  • Phone number and email (so we can let you know when your Beemer's ready)
  • Mailing address (mainly for invoices and warranty stuff)
  • Vehicle details - make, model, VIN, year (can't fix what we don't know about)
  • Payment info when you settle up (we don't store credit card numbers on our end though)
Vehicle History We Keep

We maintain service records for your car because it actually helps us do a better job. Things like:

  • Previous repairs and maintenance we've done
  • Parts we've installed
  • Diagnostic codes and findings
  • Recommendations we've made
  • Odometer readings from each visit
Website Stuff

Our website collects basic info like your IP address, browser type, and which pages you check out. Nothing creepy - just standard website analytics so we know if people are actually finding our winter prep page useful or not.

We're not doing anything fancy here. Your info helps us:

Service Your Vehicle

Schedule appointments, order parts, communicate about repairs, keep track of what we've done to your car.

Handle Billing

Process payments, send invoices, deal with warranty claims if something goes sideways.

Stay Connected

Send appointment reminders, seasonal maintenance tips (winter's coming!), special offers if you're into that.

Improve Our Service

Figure out what's working and what needs tweaking. Your feedback actually matters to us.

Important: We won't use your info for anything you didn't sign up for. If you book a brake job, we're not gonna start spamming you with random marketing emails unless you say it's cool.

We're pretty protective of your data, but sometimes we gotta share it to get the job done:

  • Parts Suppliers: When we order parts for your car, they need your vehicle details. They're not gonna start calling you though.
  • Payment Processors: Credit card companies and payment gateways process your transactions securely. We don't actually see or store your full card numbers.
  • Warranty Companies: If there's a warranty claim, we'll share repair details with the manufacturer or warranty provider.
  • Legal Stuff: If the law requires it (court order, government request, that sort of thing), we'll comply. Hasn't happened yet in our 12 years, but y'know, gotta mention it.
  • Professional Services: Our accountant and lawyer see business records, but they're bound by their own confidentiality rules.

What we DON'T do: Sell your info to marketing companies, share it with random third parties, or use it for anything sketchy. That's not how we roll.

Yeah, we use cookies. Not the chocolate chip kind (wish we did). These are tiny files that help our website work properly.

Our payment processing is handled by certified third-party services that meet industry standards. We never see or store your full credit card details on our systems.

Wanna see what we've got on file? Just ask. We'll show you your service records and contact details we have stored.

Fix What's Wrong

If something's outdated or incorrect (maybe you moved or got a new phone), let us know and we'll update it right away.

Delete Your Data

Want us to delete your info? We can do that, though we might need to keep some records for legal or warranty purposes. We'll let you know what we can and can't delete.

Opt Out of Marketing

Don't wanna get our seasonal maintenance reminders or special offers? No problem. You can unsubscribe anytime or just tell us to stop.

Sometimes our website might link to other sites - maybe a parts manufacturer's warranty page or a technical article. Once you click those links, you're on their turf and their privacy policies apply, not ours.

We try to only link to reputable sites, but we can't control what they do with your data. So if you're clicking through to another website, you might wanna check out their privacy policy too.

Same goes for social media. If we share something on Facebook or Instagram and you interact with it there, that's between you and the social platform.

We don't keep your info forever. Here's generally how long we hang onto stuff:

  • Service Records: We keep these for about 7 years. It's partly for warranty purposes and partly 'cause tax laws make us keep business records for a while.
  • Contact Info: As long as you're an active customer. If we haven't seen you in 5+ years and you're not responding to our check-ins, we'll probably archive or delete your contact details.
  • Financial Records: Invoices and payment info stick around for 7 years for tax and accounting purposes.
  • Website Analytics: Usually stored for 26 months, then it gets automatically deleted or anonymized.
  • Marketing Lists: You stay on these until you unsubscribe or we notice you're not engaging anymore.

If you specifically ask us to delete your data sooner, we'll do what we can while still meeting our legal obligations.
